Import Your Existing Data

You may already hold data in electronic form, such as a spreadsheet that you want to import into the CRM. Using the Import Tool this guide will show you how.
- From the Start Menu select All Programs / Convallis Software Ltd / ConvallisCRM / Data Import Tool.

- In the Import Type box, select either Contact or Product.
- Select the file that has the data you require by clicking Browse*.
- Select a category for the data to go into**.
- If the data you are importing has header rows, tick the Header Rows box.
- The system will try and match the column data you are importing to the column data within the CRM. You can match them up by selecting the revelant column of your data for each of the CRM.
- for some columns, such as Contact Name, you can combine 2 of your columns to produce one, using Append Import Column.
- If you use Append Import Column, you can set how it will be imported using Append Format.
- {0} = Import Column / {1} = Append Import Column.
- If a contact has the name Joe(forename) Bear(surname), you can import it so it appear as Bear, Joe using {1}, {0} as the Append Format.
- When you have sorted out all of your data, click 'Save' and then click Import to add the data to the CRM.
* You can import the following formats: .xls, .xlsx and .csv.
** This category can be an existing one or it can be one isn't on the CRM yet.
